Privacy notice
Local review copy — organisational and hosting details require confirmation before publication.
Who is responsible?
The Hispanic Society of Scotland is the organisation presented on this website. For privacy enquiries, email hispanicsocietyofscotland@gmail.com. The full legal identity and postal contact address of the data controller must be confirmed before launch.
Information we use
If you contact us by email, we receive your email address, the name you provide and the contents of your message. Please only send information necessary for your enquiry. The proposed lawful basis for answering ordinary enquiries is our legitimate interest in communicating with people interested in the Society. Specific requests may require another basis, which must be explained when that information is collected.
Hosting systems may record IP addresses, requested pages, timestamps and browser information for operation and security. The hosting provider, actual logging configuration and retention must be confirmed before launch. These security activities are proposed on the basis of legitimate interests in protecting the website.
Authorised editors have WordPress accounts. Account details and essential authentication cookies are used to administer and protect the site. Visitors do not need an account to read events.
Event photographs and contributions
Event pages may include names, contributions and photographs. Before publishing real event material, the Society must establish and document the appropriate lawful basis and provide attendees with information about photography and their options. Contact us if a photograph or contribution concerns you.
Newsletter
Newsletter registration is not connected in this local version and this website does not currently collect newsletter registrations. The existing subscriber list has not been imported. Before enabling registration or migrating subscribers, we will identify the email service, explain how subscriber data is used and confirm the applicable permission to send emails. Every newsletter must offer an easy way to unsubscribe. A new provider does not itself create permission to send marketing.
Who receives information?
Only people and service providers who need information for the relevant purpose should receive it, including authorised Society administrators, hosting, maintenance and email providers. Their identities, processing locations, contractual safeguards and any international transfer arrangements must be confirmed before launch. External websites linked from event pages have their own privacy information.
How long is information kept?
Information should be kept only as long as needed for its purpose, including resolving enquiries and meeting applicable obligations. Before launch, the Society must approve specific retention periods or clear criteria for enquiries, security logs, editor accounts, backups and event material, and insert them here. Newsletter retention will be stated when that service is configured.
Your rights
Depending on the circumstances, you may request access, correction, deletion, restriction or transfer of your personal information, or object to its use. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing. Contact the email address above. You can also complain to the Information Commissioner’s Office. This build does not make automated decisions with legal or similarly significant effects.
Changes
We will update this notice when the site’s services or processing change. Review date: 25 September 2026.
